Job Description

Main Purpose of the Job Provide high-quality, professional, and timely executive support to the Chief Executive / Corporate Director in a high-pressure environment. Ensure efficient governance and smooth operations of Statutory Officer and Directorate Leadership Team meetings , including planning, attending, and minuting. Collaborate with the Executive Support Team Leader to align services with business needs and improve policies, procedures, and workflows. Leverage technology to enhance processes, efficiency, and service delivery. Lead transformational change and act as a key liaison between the directorate and the Mayor, Lead Members, Councillors, and stakeholders . Key Duties & Responsibilities Executive Support & Governance Provide comprehensive diary management, correspondence handling, meeting organization, and event preparation for the Chief Executive/Corporate Directors. Oversee Statutory Officer and Directorate Leadership Team meetings , ensuring smooth execution from planning to follow-ups. Maintain confidentiality and discretion when handling sensitive information. Stakeholder Engagement & Communication Facilitate coordination between directorates, the Mayor, Cabinet Members, and external partners , ensuring alignment with political priorities. Prepare and verify briefing notes, reports, petitions, and governance documents , advising on legal, financial, and procedural implications. Manage communication channels for the Chief Executive/Corporate Directors, prioritizing workload and access. Draft correspondence and key documents on behalf of leadership teams. Operational Excellence & Process Improvement Ensure compliance with service standards , managing high workloads with attention to detail and prioritization. Work closely with the Executive Support Team Leader and Senior Executive Support Officers on operational issues and initiatives. Stay updated on legislative and regulatory changes , adapting service provision accordingly. Identify efficiencies and system improvements to enhance service delivery and workflow. Financial & Administrative Responsibilities Monitor and control budgets, ensuring value for money and compliance with procurement regulations. Oversee transactions, including cash handling, payments, reconciliations, and reporting . Authorize delegated items such as staff recruitment, leave requests, expense claims, and invoices . Ensure GDPR compliance in data processing, records management, and reporting obligations. Additional Responsibilities Supervise trainees and apprentices within the Executive Support Team. Provide support and deputization for the Executive Support Team Leader. Undertake project work related to major council initiatives, audits, and inspections. Be available for emergency response support in civil contingencies. General Expectations Continuously develop skills and knowledge through training and professional development. Adhere to council policies, procedures, and ethical standards . Uphold the Council’s TOWER values , demonstrating professionalism and integrity. Be flexible to work across multiple locations, including evenings and weekends when required.
