We are seeking an Administration Assistant to provide support to our team in our Business Services division, who will report directly to Director and Partner. The role will be required to assist with a range of administrative and support tasks, including: ASIC Annual Statement reviews including preparing minutes and invoices Preparation and lodgment of common ASIC Forms (i.e. 484, 201, 362, 492) and corresponding minutes and resolutions (via internal software) Processing of ATO & ASIC mail and forwarding correspondence to clients Drafting of client engagement proposals Preparation and monitoring of checklists for onboarding/offboarding clients Making purchases and entering disbursements Uploading receipts into expense management system and drafting expense reconciliation reports Assistance with database management across multiple systems, including adding new clients, closing exited clients, updating client data i.e. addresses/contact details Collating client documents (management reports, tax returns & financial statements) Assistance with filing Assistance with cloud software administration, including managing user access Collating and entering data for the purposes of internal risk documents Assistance with ad hoc administrative tasks. Systems & software Experience Essential Microsoft Word Microsoft Excel Microsoft Outlook (experience in same or similar essential) On the job training to be provided as required CAS360 ATOmate Xero such as practice manager and Xero HQ Microsoft Teams Ignition (client engagement document tool) Workday Audit Shield (client audit insurance portal) Various internally developed tools and other programs/systems as and when required. Other Duties Daily communication with Executive/Team Assistants on priorities and actions Highly responsive to emails and communication from the Consolid8 team and clients. Resource requirements Fulltime equivalent, working 37.5 hours per week Software experience as outlined above Experience with updating data/working in a database environment (preferable) Strong written and verbal English skills.
