Job Description

This global leading company based in Hook are seeking an experienced Operations Assistant to provide logistics and administration support to the business. The role is office based and would suit someone who has proven experience in a logistics or supply chain role, with a strong understanding of import/export operations. Operations Assistant – About the role Reporting to the Finance and Administration Manager, your main responsibility will be to manage and process incoming and outgoing shipments and to provide secondary support in sales order processing. Main tasks: Oversee and process shipments, including packing, unpacking, and preparing required documents. Maintain accurate records for customs procedures. Complete and submit customs declarations in line with regulations. Coordinate with freight forwarders and carriers to secure competitive rates and services. Monitor and ensure compliance with international trade and customs regulations. Update the credit control spreadsheet and escalate overdue debts to the Finance Manager. Maintain the purchase ledger, ensuring accurate recording, matching, and timely processing of supplier invoices. Generate and send customer statements and chase debts in line with payment terms. Process and reconcile BACS sales receipts. Handle general office tasks, including calls, post, stationery orders, and filing systems. Provide backup support to the Sales Order Processor: Process customer orders, ensuring accuracy with quotations and proper coding. Check stock availability and supplier delivery times, updating customers as needed. Notify customers of delivery changes via updated contract review emails. Raise purchase orders to suppliers and resolve supply chain or delivery issues. The successful Operations Assistant will have: Proven experience in a logistics or supply chain role, with a strong understanding of import/export operations. A familiarity with special customs procedures (e.g., IPR/OPR). Demonstrated experience in order processing Competence in using ERP systems Strong organizational skills Excellent communication skills, both verbal and written.
