Job Description

Location: Sydney Position Type: Ongoing|Full-time Salary: $74,422-$80,807 About the role As an Executive Assistant, you will provide quality administrative support services to a member of the Senior Executive team under general direction. This will include managing the Senior Executive’s diary appointments and inbox, preparing meeting papers, organising venues and managing travel arrangements. You will liaise with a broad range of internal and external stakeholders, have the ability to anticipate the needs of the Senior Executive and demonstrate flexibility and resilience. Key responsibilities: Provide active support to a branch or work area by undertaking 'front of office' functions, including greeting visitors, receiving and responding to phone calls, emails and correspondence, directing enquiries to the most appropriate service channel and assisting in resolving more complex issues that arise; Communicate with employees internally and externally, such as ministerial offices and external government departments on behalf of the SES Officer; Provide advice, organise, schedule and coordinate all travel arrangements and supporting documentation for the Senior Executive; Build and sustain relationships and obtain cooperation and assistance within the work area and other areas of the ACIC; Understand and support the principles of the legislative, regulatory, and corporate policy and procedures as they apply in the ACIC; Be responsive to changes and use sound judgement to solve problems that may be complex yet broadly similar to previous situations, research solutions which generally can be found in documented precedents or procedures; Apply sufficient expertise and experience to perform a range of procedural, operational, administrative, analytical and problem-solving activities. Our ideal candidate To be successful in this role, you will demonstrate the following experience, skills and attributes: Ability to apply sound judgment in providing executive and administrative assistance to senior executives, managing diaries, organising conferences and meetings and collating required documentation; Ability to provide administrative support and to research, manage multiple tasks, adapt to changing work priorities and deliver outcomes on time; Well-developed communication skills and the ability to adapt to an audience both in written and oral form; Ability to develop and maintain effective relationships with a wide range of internal and external stakeholders; Strong team skills with the ability to transfer knowledge, support colleagues and contribute to team/organisational goals. Eligibility Citizenship – To be eligible for employment with the ACIC, applicants must be an Australian citizen.
