An essential and busy department within Squarcle that manages all the support functions from Compliance, Human Resources, Accounting and Finance and Executive support the business. Job Overview/Introduction Reporting to the Compliance Manager the Compliance Assistant is responsible for supporting the compliance team in ensuring that Squarcle adheres to all relevant laws, regulations, policies, and industry standards; including ISO 27001, 14001, 45001 and 9001. The role involves assisting with monitoring, auditing, reporting, and improving compliance processes. The Compliance Assistant will also assist in maintaining compliance documentation, conducting internal assessments, and providing support to various departments in achieving and maintaining compliance. Primary Roles and Responsibilities Primary Duties of the Compliance Assistant are: Compliance Monitoring: Assist in the ongoing monitoring of the organization’s compliance with internal policies, legal regulations, and industry standards (e.g., ISO 9001, 14001, 45001 and 27001, GDPR, HIPAA, SOX, etc.). Track compliance-related activities, ensuring deadlines and objectives are met. Help gather and analyse data for compliance audits and assessments. Documentation and Reporting: Maintain and update compliance-related documentation, including policies, procedures, and training materials. Assist in the preparation and presentation of compliance reports for senior management, regulatory bodies, or internal audits. Document compliance violations, corrective actions, and resolutions. Internal Audits and Reviews: Book, coordinate, and secretary all Internal Audits and Management Reviews Support internal audits to assess the effectiveness of the organisation’s compliance programs and controls. Participate in periodic reviews to ensure all departments are adhering to compliance standards. Help identify potential compliance risks or gaps and recommend improvements. Training and Awareness: Assist in the development and delivery of compliance training programs for employees. Help promote awareness of compliance requirements across the organisation and ensure staff are up to date with relevant policies and regulations. Policy and Procedure Support: Assist in developing, updating, and implementing company policies and procedures to ensure compliance with regulations. Help track changes in laws and regulations that affect the organisation and ensure proper adjustments to internal practices. Regulatory Liaison: Assist in liaising with regulatory agencies, ensuring that all necessary reports or documentation are filed on time. Support the compliance team in responding to any inquiries from regulatory authorities or external auditors. Risk Management: Assist in identifying, assessing, and mitigating compliance-related risks within the organisation. Help track and report on the effectiveness of compliance risk mitigation strategies. General Administrative Support: Provide general administrative support to the compliance team, including scheduling meetings, maintaining records, and coordinating tasks. Respond to internal inquiries regarding compliance-related matters. Secondary Roles and Responsibilities Secondary Duties of the Compliance Assistant are: Assist in maintaining and updating compliance-related documents and records. Ensure that all compliance documentation is properly filed, organised and stored on SharePoint for easy access and retrieval. Help with preparing compliance reports, presentations, and updates on compliance issues for management. Monitor compliance activities to ensure adherence to internal policies, procedures and processes and external regulations. Track regulatory changes and inform the Compliance Manager of any changes that may impact on the organisation. Support employees during internal and external audits. Help gather data, documents and evidence required during audits. Ensure that all compliance related issues identified during audits are addressed promptly. Carry out other duties as specified by the Compliance Manager. Knowledge, Skills and Experience (Essential) Strong attention to detail and ability to manage multiple tasks effectively. Excellent written and verbal communication skills. Proficient in Microsoft Office Suite (Excel, Word, PowerPoint). Basic understanding of compliance, legal requirements, and risk management. Ability to draft reports, memos, and compliance documentation. Confidence in communicating compliance requirements clearly to staff, management, or stakeholders. Conduct research on laws, regulations and understand their implications for the company. Ability to work independently and as part of a team. Strong organisational and time-management skills. Analytical thinking and problem-solving abilities. Discretion and the ability to handle confidential information. Proactive, with a willingness to learn and develop compliance knowledge. Knowledge, Skills and Experience (Desirable) Previous experience in a compliance, audit, or legal support role is preferred, but not required. Compliance Certificate. Understanding of internal company policies, ethics codes and compliance manuals that define how the business should operate in accordance with legal requirements Basic knowledge of risk management principles. Awareness of audit processes and compliance monitoring techniques used to detect issues or non-compliance within an organization. Understanding of ISO 9001, 14001, 45001 and 27001. A worthy team player dedicated to contributing toward the outcome desired by the team. High degree of emotional intelligence to effectively deal with increasingly diverse clients and teams. This role requires you to have lived in the UK for the last 5 years and obtain Security Check (SC) security clearance . Clearance must be obtained without any caveats that prevent you from carrying out the role you’ve been recruited for. If it isn’t obtained, or is obtained but with caveats that prevent you from carrying out the role, any conditional offer made to you will be withdrawn. Obtaining SC security clearance can be a lengthy process, and we reserve the right to withdraw any conditional offer made if the necessary security clearance isn’t obtained within 6 months.
