Job Description

Job Duties: Dispatch: Review and improve on distribution routes, route planning and cost optimisation Oversee branch logistics planning and execution Route plan for all deliveries with drivers. Schedule vehicle services and ensure all company vehicles and warehouse equipment are maintained. Ensure PODs are returned for capturing purposes. Monitor and control trip sheets and daily vehicle trip log report. Monitor and control tracking monitoring for speeding and violations, including route deviations. Monthly reporting on logistics costs, private vehicle usage and staff deductions. Ensure trucks are loaded correctly and correct goods are loaded. General house-keeping and maintenance. Plan and co-ordinate collection of goods. Follow-up on customer queries in collaboration with internal sales. Track, monitor and improve delivery KPIs (on time, in full, accurate). Implement, maintain and optimise electronic waybill capturing and potential APIs with suppliers. Ensure correct labelling, packaging etc fit for destination and/or customer requirements. Ensure sufficient stock is kept for boxes, wrapping, labelling etc. Reduce manual processes, streamline workflow and automate processes to ensure the company can grow its volumes optimally. Oversee the timely and accurate picking, packing, and shipping of export orders in accordance with regulatory requirements. Maintain up-to-date records of Bills of Entry and ensure proper documentation is filed for all export-related processes. Collaborate with logistics partners to resolve customs-related issues and ensure smooth international shipments. Ensure positive customer experience. Effective resource allocation, training of staff. Receiving: Receive goods/stock and check that the goods received are correct. Assist receiving clerks when required. Follow-up on supplier queries in collaboration with procurement. Proper follow up and management of RMAs. Follow-up on all outstanding IBTs and buy-outs. Ensure that the receiving area is clear at all times. Coordinate offloading of trucks effectively. Ensure accurate, fast and effective labelling, pack away and system capturing. Track, monitor and improve receiving KPIs (time, accuracy). Ensure correct labelling, re-packaging etc fit for storage capacity. Ensure sufficient stock is kept for boxes, wrapping, labelling and other warehouse consumables etc. Reduce manual processes, streamline workflow and automate processes to ensure the company can grow its volumes optimally. Forward planning for optimal pack away and storage. Effective waste management. Effective resource allocation, training of staff. Picking & Packing: Reduce manual processes, streamline workflow and automate processes to ensure faster, more accurate and efficient picking, packing and delivery to customer. Improve customer experience. Optimal use of space to ensure efficient flow of product. Effective resource allocation, training of staff. Quality Assurance: Implement effective processes for QA team to ensure errors are avoided. Inventory Management: Ensure inventory accuracy by implementing stock control measures, minimizing discrepancies, and preventing losses. Oversee daily stock counts, cycle counts, monthly stock take and reconciliation processes. Implement and enforce stock security measures to protect high-value items from theft or damage. Ensure compliance with all company policies for inventory tracking and auditing. Inspect buyout shelf and ensure all buyouts are delivered / collected in the same month. Slow moving and obsolete reduction programmes to be executed to achieve objectives set by COO. Effective waste management. Optimal storage and record keeping of all warehouses. Occupational health, safety and risk management: Promote general health and safety within the despatch department. Conduct regular inspections of warehouse equipment and facilities to ensure they meet operational and safety standards. Identify areas of inefficiency and propose improvement strategies to enhance performance. Implement, monitor and maintain CCTV of all warehouse areas. Implement control to mitigate risk of theft or loss. Manage discipline within the warehouse. Requirements: Tertiary qualification in Warehouse or Logistics Management/Supply Chain Management. 3-5 years exp. in a similar role Strong people management experience Experience in dealing with customers and logistics providers. Warehouse Management System (WMS) Implementation experience. General system, SOP, controls implementation Fleet Management
