Job Specification: Payroll Specialist

Location: Reading, UK (Hybrid – Minimum 3 days onsite)

Position: Payroll Specialist

Contract Type: Full-Time

Role Overview:

Ultima is seeking an experienced and detail-oriented Payroll Specialist to manage and oversee payroll operations for up to 600 employees, including global payroll. This is a pivotal role within our HR and finance teams, ensuring accurate and compliant payroll processing across multiple regions.

Key Responsibilities:

  • Payroll Management:
  • Accurately process payroll for up to 600 employees, including global payroll across various countries.
  • Handle monthly, quarterly, and annual payroll reporting requirements.
  • Compliance & Accuracy:
  • Ensure all payroll processes comply with local laws, tax regulations, and company policies.
  • Resolve payroll discrepancies and address employee queries promptly.
  • System Proficiency:
  • Work efficiently with ADP payroll systems to manage and process payroll data.
  • Regularly update and maintain payroll systems, ensuring data integrity and security.
  • Collaboration & Communication:
  • Liaise with HR and finance departments to ensure smooth payroll operations.
  • Coordinate with global payroll providers and external stakeholders as needed.
  • Documentation & Reporting:
  • Prepare payroll reports for internal and external stakeholders.
  • Maintain accurate records of employee payroll information and any related documentation.

Qualifications & Experience:

  • Proven experience as a Payroll Specialist or in a similar role, with expertise in global payroll management.
  • Demonstrable experience managing payroll for up to 600 employees.
  • Proficiency with ADP payroll systems is highly desirable.
  • Strong knowledge of payroll laws, regulations, and compliance requirements in multiple countries.
  • Exceptional attention to detail, problem-solving skills, and a commitment to accuracy.
  • Excellent organisational and time-management abilities.
  • Strong communication skills to interact effectively with employees and external vendors.

Working Arrangements:

  • Hybrid working model with a minimum of 3 days per week onsite in Reading, UK.
