Job Description

Join us as an Executive Assistant to provide vital support to our Managing Director (MD) and Senior Management Team (SMT), helping to drive strategic success while ensuring operational efficiency.

Position Overview

The Executive Assistant will play a pivotal role in enabling the MD and SMT to focus on strategic priorities by managing a wide range of administrative, HR, and operational tasks. Acting as a central point of contact, youll also bridge communication between TCS employees and internal Dawsongroup departments.

Key Responsibilities will include:

General Administrative Support

  • Act as the primary point of contact for the MD, handling queries, correspondence, and prioritising tasks.
  • Coordinate meetings by preparing agendas, taking minutes, and ensuring follow-up on action points.
  • Manage confidential matters, including annual commission and salary reviews.
  • Arrange and book travel and accommodation for the MD and SMT.
  • Provide daily support to the SMT as needed.

HR Support

  • Oversee onboarding processes for new starters and serve as the first point of contact for HR-related queries.
  • Work with hiring managers and the Head Office Recruitment team to ensure efficient recruitment processes.
  • Manage company property distribution, tracking, and returns (e.g., laptops, phones).
  • Maintain and update the HR system with employee records and absences.
  • Coordinate TCS Health & Wellbeing initiatives.

Administrative Operations

  • Supervise the reception team and provide cover during absences.
  • Process and manage monthly commission submissions for MD approval.
  • Prepare payroll data, including overtime reports, absence summaries, and mileage claims.
  • Approve expenses in accordance with company policies.
  • Update and validate system information, ensuring compliance with service contractor requirements.

Knowledge, Skills & Qualifications

To excel in this role, youll need:

  • Experience: Minimum 2 years in a PA/EA role.
  • Education: Relevant qualifications (e.g., Business Administration).
  • Skills: Exceptional organisational skills with the ability to prioritise under pressure.
  • Communication: Strong verbal and written communication skills, confidently engaging with stakeholders at all levels.
  • Attention to Detail: Precision in managing confidential and critical information.
  • Proactive Approach: Self-motivation, initiative, and the ability to work independently in solving problems.
  • Professionalism: Punctuality, discretion, flexibility, and reliability.
  • IT Skills: Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint) and the capability to learn new software systems.
