Job Description

The suitable candidates main responsibilities and duties include, but are not limited to, the following: Perform administrative duties effectively; Assist and support administrative staff, back up to other Technical Administrators; Assist with travel arrangements if needed; Coordinating between departments and operation units in resolving day -to - day administrative and operational problem; Assisting with various daily operations, keeping billing schedules and tool registers; Managing and assisting with communications within the Operational teams; Generates reports; Handle sensitive information in a confidential manner; Projects Ensure Projects is loaded within 24 hours / 48 hours; Ensure POs is raised within 24 hours; Weekly feedback on predictions versus actual invoicing; Weekly feedback on WIP liaising with project managers; Oversee project expenses; Procurement Creating Picking slips and POs Match POs with good received and ensures GRVs are done; Liaise with suppliers regarding outstanding equipment and stock items; Managing open PO list and provide statistics on outstanding issues; Following up on supplier queries; Managing open GRV list; Assisting with new Vendor documentation; Receive delivered supplier, material and equipment and confirm delivered goods; Ensure all faulty equipment are taken in for repairs; Finance Assist accounts department in accounting functions; Preferred qualifications / attributes / skills: Minimum grade 12 or equivalent qualification; Reporting Skills Administrative Writing Skills Microsoft Office Skills, SAP and WebX Professionalism Problem Solving Verbal Communication Office Administration Procedures Typing Skills Attention to Detail, Accuracy Discretion and Judgment, Patience
