Contract Payroll Specialist Role
Pay Rate: $26 – $29/hour
Shift: Monday – Friday, 8:30 AM – 5:00 PM (with a 30-minute unpaid meal break)
Onsite Requirement: Flex onsite (3-5 days per week)
Duration: Temporary role,3-6 months.
Position Overview: The Payroll Specialist is responsible for processing accurate and timely bi-weekly payroll, acting as the main contact with third-party payroll providers, managing wage and benefit-related accounting activities, and supporting the purchasing department when necessary.
Essential Job Functions:
Manage and reconcile employee time worked, wages, and deductions, including taxes and benefits.Audit, analyze, and reconcile payroll reports to ensure accurate bi-weekly payroll processing.Oversee the creation and adjustment of payroll pay and benefit codes using ADP.Handle year-end payroll tasks, including the approval of W-2s.Serve as the primary backup for the Purchasing department.Manage new state jurisdiction registration and collaborate with the CPA for approval.Stay updated on payroll policies and government regulations and apply changes as needed.Prepare manual payroll checks for payroll errors and terminations.Work with ADP to make accurate quarterly tax adjustments affecting employee W-2s.Reconcile monthly health, dental, disability, and life insurance bills with payroll deductions.Prepare bi-weekly journal entries and provide month-end spreadsheets to the accounting team.Reconcile Flex Spending and Health Plan monthly, submitting them to accounting for month-end entries.Create and audit payroll and headcount reports for external audits.Prepare documentation for the annual workers’ compensation audit and serve as the main contact for external auditors.Collaborate with supervisors to resolve discrepancies in time punches, overtime, shift differentials, and absences.Assist with various ad-hoc payroll projects as directed by management.
Other Responsibilities:
Stay informed on tax and deduction law changes.Participate in ADP educational opportunities and suggest process improvements.Update payroll-related Standard Operating Procedures (SOPs) to reflect process and software changes.Provide backup for other accounting and purchasing tasks when necessary.
Required Qualifications:
Education: Associate’s degree in business, human resources, or a related field is required. A bachelor’s degree is preferred.Experience:3-5 years of hands-on payroll processing experience.3 years of experience with ADP payroll systems or comparable software.1 year of experience with the Epicor Accounting system (strongly preferred for purchasing support).
Skills:Proficiency in MS Office, particularly Word, Excel, and PowerPoint.Excellent attention to detail and accuracy.Ability to meet deadlines consistently.Strong written and verbal communication skills.Ability to work independently or as part of a team with minimal supervision.Maintain strict confidentiality in handling sensitive information.
