Job Description

Overview

Emerald is seeking a Venue Procurement Coordinator to join our team. The Venue Procurement Coordinator is responsible for supporting the Venue Procurement Director and ensuring all venue procurement operations are managed and executed efficiently, cost-effectively, and exceed expectations for both our internal and external colleagues and partners.

The Venue Procurement Coordinator is responsible for providing support on the venue sourcing, venue contracting, and data management for the entire portfolio of Emerald's shows and events. To find success in this position, candidates must demonstrate effective time management, the ability to multi-task with concurrent deadlines, and communicate proactively with both internal and external colleagues and partners. The Venue Procurement Coordinator must be able to quickly identify and adapt to challenges by displaying a cool, calm demeanor and the ability to find answers and create solutions with limited direction.

This position will be based out of our Alpharetta, GA office.

Responsibilities

  • Support Venue Procurement Director with RFP creation, summary of venue availability generation, and venue contracting for assigned shows and events
  • Communication with suppliers, partners, vendors, and internal colleagues to ensure timely and accurate flow of information
  • Partner with external housing provider to review assigned housing contracts for accuracy and ensure alignment with Emerald's show and event needs
  • Administer assigned venue contracts through Emerald's contract approval and signature process via DocuSign
  • Manage the executed venue contract turnover process for all shows and events to include contract file organization, contract data tracking and Cvent updates.
  • Coordinate and develop venue site inspection agendas for clients and staff, as needed
  • Research and recommend qualified destinations, hotels, and venues
  • Maintain awareness of the latest industry trends and apply to assigned tasks
  • Coordinate other responsibilities as assigned by Venue Procurement Director or Operations team
Qualifications
  • Hotel sourcing or hotel/hospitality sales experience, with an understanding of the meeting and events industry
  • Excellent organizational, prioritization and time management skills
  • Well-versed in all Microsoft platforms, including Word, Excel and PowerPoint
  • Must be detail-oriented and possess excellent follow up skills
  • Experience with Cvent desired, though not required
  • Ability to travel as needed

COMPENSATION & BENEFITS

Target Compensation: $55,000 (overtime + benefits eligible)

Please note that this range reflects a reasonable estimate of the target compensation for this position. This range may ultimately vary based on a candidate's qualifications and may be higher where required by applicable law.
