Job Description

Moore Barlow are seeking a Bid Coordinator to join the Marketing Team based in Richmond. Situated near to main high street and station, our modern new offices provide a brilliant space for collaborative working.

The Bid Coordinator will be responsible for managing the end-to-end process of preparing, submitting, and tracking bids and proposals in accordance with company standards and regulatory requirements and client requirements. This role will involve collaborating with various teams across the firm to gather necessary information, ensuring compliance with tender specifications, and presenting client centric bid documents professionally. They will also be responsible for working with the legal teams to identify relevant business development opportunities.

Day to Day:

The focus of this role is to provide essential support across the firm in handling daily tasks related to bid coordination. This role is well-suited for a proactive and organised individual with strong communication, as well as a keen attention to detail. You’ll be working within a collaborative team that values creativity, shared insights, and mutual support.

Your responsibilities will include, but are not limited to, the following:

* Drive a truly client centric approach to the firm’s end-to-end pitching process.

* Collaborate with internal stakeholders including legal teams, marketing, finance, compliance and operations teams to gather relevant information and develop compelling bid responses.

* To support in coordinating and managing the entire bid process from initial request to submission, ensuring deadlines are met and quality standards are maintained.

* Conduct thorough reviews of bid documentation, ensuring accuracy, completeness, and compliance with tender requirements.

* Assist in the development and maintenance of bid content, including boilerplate text, company profiles, and capability statements.

* Identify and research opportunities for business development and growth across our practice areas.

* Organise and support de-brief reviews.

What we look for:

* Previous experience in bid coordination, ideally within the legal sector, though similar fields (professional services, accountancy, consultancy) are welcome.

* Experience in legal panel bidding (around a quarter of our bids) and use of bid/procurement portals is strongly preferred.

* Strong written and verbal communication skills, with the ability to present complex information clearly.

* Excellent attention to detail, organizational skills, and time management, able to handle multiple priorities and deadlines.

* Proactive, collaborative team player with knowledge of tendering processes.

* Proficient in PowerPoint.

* Degree or equivalent in business, marketing, communications, or related field preferred.
