Supervisor - Records Management
The Opportunity
Manage Council’s records management systems and functions in accordance with Council policies, procedures and other legislative requirements.

Banana Shire is situated in Central Queensland, Australia located 120 km west of the growing industrial city and port of Gladstone - and an easy drive to the city of Rockhampton.

DUTIES AND RESPONSIBILITIES
Supervise the Records Management team to ensure the team is delivering on goals and priorities.
Interpret and apply Retention and Disposal Schedules issued by Queensland State Archives for electronic and physical records.
Assist the Manager Governance to prepare and execute the annual budget for the Records Management function.
Assist with Council’s Right to Information (RTI) Application and Enquiries, including processing, third-party consultations. Issuing notices, research and provision of advice to employees, completing reports, and liaising with the Office of the Information Commissioner (OIC).
Act as Systems Administrator for Council’s Electronic Document and Records Management System (EDRMS), including security implementation, workflow maintenance, user access settings, file creation, establishing naming conventions and reporting.
Respond to enquiries from internal and external customers promptly and professionally, including research, identification and retrieval of historical records.
Oversee the collection and distribution of external and internal mail, emails and faxes.
Develop, monitor and review Record’s Management Policies and Procedures.
Register documents into Council’s EDRMS.
Maintain, lodge and request Council’s archives via Council’s third-party off-site storage provider.
Plan, collate and undertake annual destruction of Council’s archives in accordance with designated retention periods and legislative requirements.
Contribute to the promotion of the image of the Council and the maximisation of good public relations.
Liaise with clients, other Council staff, the public, consultants, utility and government authorities in the performance of duties including providing and obtaining information.
Undertake routine administrative tasks as required by the position e.g. timesheets.
Assist senior staff to continuously improve work processes and develop new practices, as required.
Participate in training, exercises and response to disaster management and recovery, as required.
Undertake other relevant duties as directed, consistent with skills, competence and training.
QUALIFICATIONS, EDUCATION AND LICENCE REQUIREMENTS
Compulsory
Certificate IV in Business (Recordkeeping) and/or relevant experience in a records management environment
Current class ‘C’ driver’s licence
Desirable
Certificate IV in Business (Frontline Management)
ABILITIES, SKILLS AND KNOWLEDGE REQUIRED
Compulsory
Demonstrated ability to exercise sound judgement and a high degree of initiative and confidentiality.
High level of keyboard and computer skills, including working knowledge of the MS Office Suite.
High level of experience using an EDRMS .
Demonstrated knowledge of relevant legislation and its application.
RTI Decision Makers training or willingness to attend this training.
Leadership and coordination skills, with the ability to stimulate a high level of performance and foster teamwork across a varied and multi-disciplinary workforce.
Sound understanding of and commitment to EEO and WHS principles and practices.
Desirable
Well-developed oral and written communication skills, together with proven experience in a customer service environment.
