Summary

The City of Lynnwood is seeking a driven, organized, team player to join our Public Works (PW) Department as a Senior Support Service Technician. This administrative role has an integral part in the fast-paced environment of the Lynnwood Operations and Maintenance Center (LOMC) and on our Public Works Administrative team. Our crews, and Public Works Department as a whole, keep the city moving, and we need you to help keep them moving! You will assist in making purchases, paying invoices, managing work orders, running quick trips, and more. Come and join us!

Individuals in this position provide administrative support to a large group of staff. The duties include a variety of administrative support functions related to, but not limited to, Fleet, Maintenance and Operations (M&O), and Wastewater Treatment (WWTP) within the PW department. Regular duties involve reconciling purchase cards, creating purchase orders, making credit card payments, maintaining and ordering supplies, maintaining work orders, data tracking, inventory counts, running errands, answering and tracking citizen requests, etc. This position responds to numerous questions by internal staff, citizens, and vendors. Employees of this class work under close supervision in solving office issues related to duties of this position. This position may also include special assignments as directed.

Essential Functions

  • Create and update spreadsheets, manipulate data, create charts and tables. Performs administrative projects, verifies data, proof documents, and other projects as assigned. Assist in various clerical and record keeping duties such as running odometer reports.
  • Record vehicle and facilities repair, enter parts and service into fleet work order database.
  • Prepare invoices for payment; charge parts to vehicle work orders and inventory parts and supplies. Transport supplies and parts when needed.
  • Paying and tracking utility bills for city facilities.
  • Assist in procurement of parts and supplies as requested. Maintain stock of certain items.
  • Receive and distribute fuel cards.
  • Provides customer service, responds to complaints and concerns and provides assistance to staff and the public both in person, through email, and on the phone.
  • Assist in preparing for and participating in department and public events.
  • Conducts research, gathers information, and interprets documents and records, such as purchase orders, change orders, contracts, invoices, and credit card statements.
  • Compiles information and statistics relating to ongoing and special projects for the department. Assists higher level staff with a variety of office administrative support duties.
  • Provides other administrative support, handles inter-office mail, answers phones and scans copies and faxes information.
  • Perform other special projects as needed or assigned.
Minimum Qualifications

Associate's degree in office management, secretarial science, or related field plus three (3) cumulative years of related administrative work experience or an equivalent combination of related education and experience required. Experience with Microsoft Office products, scheduling and presentation software highly preferred. Fleet management experience preferred. Must possess a valid Washington State Driver's License with a driving record acceptable to the City's insurance carrier.

Job Location and Equipment Utilized:
Work is performed primarily in an office environment. Equipment used includes personal computers, job specific financial tracking software and Microsoft Office products, office tools, City vehicles, and office equipment such as copiers, fax machines, phones, printers, plotters, and digitizers.

Required Knowledge, Skills and Abilities:
  • Knowledge of the theory, principles and practices of administrative office support.
  • Knowledge of computer programs for using word processing, database, and spreadsheet and job specific software.
  • Ability to develop, use, modify Microsoft Excel databases and spreadsheets and prepare Microsoft Word mail merge documents for small to large mailers.
  • Ability to write clear, concise, and accurate memos, reports, and correspondence to customers and stakeholders.
  • Ability to establish and maintain effective working relationships within the department, with public and private officials, and with the public.
  • Ability to research and analyze data and ability to communicate effectively both orally and in writing.
  • Ability to make mathematical computations quickly, neatly and accurately.
  • Ability to perform accurate and timely data entry.
  • Ability to prepare clear, concise, and accurate records, letters/memos reports and other documents.

The City of Lynnwood offers AFSCME regular full-time staff two options for medical coverage - Regence Blue Shield or Group Health Cooperative. Employees are covered at no cost and can cover their spouse and/or dependents at a cost of 10% of premiums.

Dental Benefits
The City of Lynnwood dental coverage is through Washington Dental Service. Employees are covered at no cost in our incentive-based plan and can cover their spouse and/or dependents at a cost of 10% of premiums.

Vision
The City also offers AFSCME regular full-time employees vision coverage through Vision Service Plan (VSP). Coverage includes one eye exam and new lenses every 12 months, and new frames every 24 months. Employees pay 100% of spouse and/or dependent vision coverage.

Our EAP provides free, short-term, confidential counseling and is accessible 24 hours per day, seven days per week for the employee and family members.

The City of Lynnwood observes 11 paid holidays per year plus one floating holiday.

FMLA Leave
Employees with at least 12 months of service and who have worked at least 1,250 hours are entitled to an unpaid leave of up to 12 weeks per year for a qualifying health condition.

Retirement
All regular full-time staff will participate in the State of Washington Department of Retirement Systems.

Direct Deposit
All regular full-time employees are eligible to participate in the direct deposit payroll program at no cost.

Reviews and Pay Increases
Employees receive an initial performance review at the end of their orientation period followed by annual reviews based on date of hire. The pay range for employees is established by union contract. Employees receive increases once a year until they reach the top of their salary range, pending satisfactory or better performance. COLA's may be given annually per union contract or Council approval.

Employee Records and Privacy
Records are confidential and not released without an employee's consent unless legally mandated. Employees (and their supervisors) may review their files by contacting the Human Resources Department. The only information that will be released to outside inquiries without a signed release is the employee's dates of employment, job title, status (full- time or part-time) and in some cases, pay rate.
