Administration Officer

Who we are

Programmed Care is a leading provider of care, support and home services to clients throughout Australia across a variety of programs. Our client base spans across the Disability, Veterans Health, Aged Care and Community Nursing industries. The Administration Officer will join our team in our Underdale office to provide support to the broader Programmed Care team.

The Role

In this fast-paced role, where no two days are exactly the same you will be required to provide proactive support to the Operations Manager and wider team. This will include:

  • Reception duties
  • General administration duties (printing, copying, filing, binding, collation of documents)
  • Processing referrals
  • Entering staff handovers

Key Requirements

  • Previous experience in a fast-paced administration environment
  • High level of attention to detail
  • Strong problem-solving skills
  • Availability Monday to Friday
  • Participate in providing On Call support on weekends
  • Experience working with different software and systems
  • A Certificate in Business Administration will be looked upon favourably
  • Experience working in a healthcare setting will also be looked upon favourably

Day to Day Duties

  • Field external phone calls and direct to appropriate internal team member
  • Provide polite and courteous response to customer enquiries to support our aged clients
  • Ensure all referrals for service are presented to appropriate team member for approval and accurately entered in client management/rostering software
  • Ensure all field staff handovers are accurately entered into rostering software in a timely manner
  • Ensure safety and quality objectives are achieved including but not limited to safety conversations and incident management
  • Maintain and manage an effective filing system, including electronic files on the document management system.
  • Ensures appropriate security is in place for particular documents and communications given their confidential nature.
  • As required, assist other team members to manage workloads to maintain office efficiencies
