Job Title: Elementary School Athletic Director

Effective Date: June, 2024 until filled

Reports To: Principal (Principal Designee)

Stipend: $3,213.00


General Responsibilities

Position is responsible for overseeing all aspects of the middle school's athletic program. This includes coordinating events, supervising coaching staff, ensuring compliance with regulations, and promoting student-athlete development. The Athletic Director plays a critical role in fostering school spirit, supporting academic achievement, and promoting a positive and inclusive athletic culture.

Essential Duties

PERFORMANCE RESPONSIBILITIES:

RULES & REGULATIONS
  1. Follow all rules and regulations of the IESA, including preparing student lists, submitting schedules, and other documents as required.
  2. Follow all school rules and regulations and school board policy.
  3. Follows state, regional, and district regulations governing the athletic program.
  4. Follows bylaws and abides by conference demands, including but not limited to updating game scores timely, timely communication with game day text threads, inputting rosters, providing ref check/voucher as needed, and informing parents/guardians of athletic events that charge an entrance fee.
  5. Communicate and enforce that all middle school athletes will be supervised at all times.
  6. Consistently enforce the athletic academic code issuing grade checks for all athletes and following up with teachers/staff concerning students who violate the code.
ATHLETIC ADMINISTRATION
  1. Serves as the primary liaison between the athletic department and school administration, parents, and the community.
  2. Utilize an organized system to document all schedules, referee names and designations, and practice times
  3. Prepare reports as required by the administration.
  4. Work with the principal to improve the middle school athletic program.
  5. Report and document all athletic injuries.
  6. Verify that all participants have a physical examination, proper permission forms, and insurance verifications per school board policy.
  7. Maintains eligibility forms, emergency data cards, insurance records, equipment inventory, and other related records.
  8. Check student eligibility per school rules and regulations and school board policy.
  9. Plan, supervise, and attend recognition programs for school athletes.
  10. Assist with the monthly athletic calendar in conjunction with the principal.
  11. Volunteer to be on committees whenever possible.
  12. Supervise on-site athletic activities and perform athletic-related administrative duties during the months of June, July, and August as needed.
  13. Create an environment appropriate for the physical, social, and emotional development of students.
  14. Cultivate a positive, harassment free culture which motivates students through the use of effective communication and constructive feedback.
SUPPLIES, EQUIPMENT & UNIFORMS
  1. Keep an updated inventory of all athletic equipment and uniforms.
  2. Keep supplies, equipment, and uniforms in satisfactory condition, and order all new and replacement supplies, equipment, and uniforms when necessary.
  3. Follows established procedures for the proper care, maintenance, and requisitioning of equipment, supplies, and uniforms.
  4. Inspect all athletic areas for cleanliness and the proper storage of all athletic supplies, equipment, and uniforms.
  5. Provide each coach with equipment, team medical supplies, and uniforms prior to the season and ensure that each coach returns all equipment, unused supplies, and uniforms using a checklist.
GAMES/EVENTS
  1. Be familiar and prepared with emergency and safety procedures (severe weather, fire, etc.)
  2. Schedule the use of all athletic facilities and fields for middle school athletic games and practices following school procedure.
  3. Arrange for officials for all interscholastic events and make arrangements for payment of officials.
  4. Ensures there are cash boxes and admissions boxes prepared for every home game
  5. Be present, arrange for a school representative, or be on call for all home games, and assign a coach to assume responsibility at all away games.
  6. Responsible for securing personnel for activity event supervision - arrange for employees for all home games including timekeepers, and scorekeepers.
  7. Communicate to principal/assistant principal and custodians all setup needs for athletic events
  8. Communicate and document medical and emergency procedures and arrange for the availability of medical supplies at all home contests.
  9. Follow established procedures in the event of an athlete's injury.
  10. Assume responsibility for cancellation of games as circumstances require to protect athletic participants and district resources and rescheduling in the event of cancellation.
  11. Models sports-like behavior and maintains appropriate conduct towards students, officials, and spectators while instilling a competitive spirit.
  12. Models non discriminatory practices in all activities.
TRANSPORTATION
  1. Arrange and confirm bus or other transportation for athletic participants.
  2. Verify that all participants have proper permission forms for alternative transportation if requested.
  3. Communicate the athletic transportation policy to all coaches responsible for away game transportation.
COMMUNICATION
  1. Conduct athlete, parent and coaches meetings as needed.
  2. Represent the schools and district at middle school regional, state meetings and events.
  3. Communicate issues with school facilities and fields to the Principal/Assistant Principal.
  4. Work with coaches to make sure that all student athletes and parents know the rules and regulations.
  5. Act as a liaison between coaches and the athletic booster club.
  6. Develop, review, and revise the athletic handbook and any athletic agreements that each athlete, parent, and coach must abide by, with recommendations from administration and coaches, and subject to school district approval.
  7. Promote and model good sportsmanship and maintain an active program that welcomes competing teams, guests, and game officials.
  8. Arrange for videotaping/photographing of key middle school athletic events.
  9. Follow a chain of command of:
    1. Athlete/parent to coach
    2. Coach to athletic director
    3. Athletic director to principal/assistant principal.
COACH SUPERVISION
  1. Provide orientation and in-service programs for coaches.
  2. Ensure coaches are performing their duties professionally, including parent and staff communication as appropriate
  3. Support coaches with any athletic issues
  4. Assist with monitoring the academic performance of team members to ensure that eligibility requirements are met; and encourages student athletes to maintain a high academic standard.
  5. Assist with the revision as needed of district criteria for evaluating, renewing, and hiring of coaches.
  6. Inform the principal/assistant principal with problems of discipline concerning coaches.

Additional Staff Responsibilities
  • Attend periodic Athletic Department Meetings.
  • Performs any other related duties as assigned by the Principal or other appropriate administrator.
Knowledge, Skills, and Abilities
  • CPR/First Aid trained
  • Ability to communicate clearly and concisely, both in oral and written form using a variety of communication techniques and tools to ensure the appropriate flow of information, collaborative efforts, and feedback, and to conduct conferences as needed with parents, students, administrators, or other teachers.
  • Strong communication, public relations, and interpersonal skills.
  • Ability to effectively present information and respond to questions, inquiries, and/or complaints.
  • Display courtesy, tact, and respect when dealing with others.
  • Maintain appropriate confidentiality.
  • Establish and maintain effective working relationships; demonstrate a commitment to teamwork.
  • Ability and willingness to learn and refresh job skills through professional development in order to meet the changing needs of this position.
  • Ability to react well under pressure, handle and balance multiple demands at one time, work with frequent unscheduled interruptions, and perform duties and tasks at expected levels of professionalism.
