Summary

We are looking for an Executive Assistant who is gifted with the ability to handle all situations with grace and tact and the appropriate level of urgency and proficiency. The Executive Assistant must be able to manage sensitive and confidential matters with unwavering integrity and ethics at all times. You will learn about the functional and business context, be part of a tight-knit team, and learn adjacent skills to run special projects as requested. The Executive Assistant will coordinate and co-manage all meeting logistics, communications, and associated tasks, and be ready to assist in all matters that require your executives' attention. Excellent verbal, written, and organizational skills are a must.

Ultimately, you will contribute to the efficiency of our business by providing personalized and timely support to executive members. Essential Duties and Responsibilities

  • Act as the point of contact among executives, employees, clients, and other external partners
  • Manage information flow in a timely and accurate manner
  • Proactively maintain calendars and daily schedules for your executives, fielding and prioritizing requests that require attention
  • Make travel and accommodation arrangements
  • Organizing special events as needed including ordering supplies, negotiating best rates and terms through vendor selection process, and managing events.

  • Format information for internal and external communication – memos, emails, presentations, reports
  • Screen and direct phone calls and distribute correspondence
  • Take accurate and insightful meeting minutes
  • Have a thorough understanding of executive’s priorities and workload to predict, prioritize and make recommendations
  • Ability to function well in a high-paced environment; performs additional duties as assigned by executives.
  • Represent the company and the Executive in a positive light through great follow-through skills and sound judgment.
  • Conserve the Executive's time by reading, researching, collecting, and analyzing information as needed, in advance.

Education and/or Experience

  • Bachelor’s degree preferred
  • HS diploma with several years related experience will be considered.

Communication Skills

Excellent written, verbal and telephone communication skills. Appropriate interpersonal abilities and the ability to get along with diverse personalities in a tactful, mature, and flexible manner.

Computer Skills

Must have computer, data entry skills and experience with Microsoft Windows, Word, and Excel

Physical Demands

While performing the duties of this position the employee will be required to utilize the computer screen and keyboard, telephone and will need to bend and reach to file.

Work Environment

General office environment.

Travel is anticipated for this position.

Position Type and Expected Hours of Work

  • This position is classified as full-time.
  • Normal Days of work are Monday through Friday.
  • Overtime may be required on occasion as needed.
