Job Description
Position Overview:
We are seeking a motivated and organized Manager Assistant to support our management team in various administrative and operational tasks. The ideal candidate will have experience in inventory management, work order scheduling, order facilitation, email correspondence, and small-scale purchasing.
Key Responsibilities:
- Inventory Management: Assist in tracking and adjusting inventory levels, coordinating with warehouse staff, and ensuring accurate, up-to-date records.
- Work Order Planning and Scheduling: Prepare, print, and distribute work orders for production staff, ensuring timely scheduling and tracking of jobs for optimal workflow and resource allocation.
- Email Correspondence: Handle professional email communications on behalf of the management team, addressing inquiries and providing timely follow-ups.
- Order Facilitation: Process orders from start to finish, coordinating with vendors and internal departments to ensure accurate and efficient order fulfillment.
- Purchasing: Manage small-scale purchasing responsibilities, obtaining quotes, placing orders for office and operational supplies, and monitoring budget constraints.
- General Administrative Support: Assist the management team with day-to-day operations, including scheduling, documentation, and other ad-hoc tasks as needed.
Qualifications:
- Proven experience in administrative or managerial support roles.
- Familiarity with inventory management systems and basic accounting software.
- Excellent written and verbal communication skills.
- Strong organizational and time management abilities.
- Ability to multitask and prioritize in a fast-paced environment.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook).
Preferred Skills:
- Knowledge of purchasing practices and supplier management.
- Problem-solving skills and a proactive attitude.
Working Conditions:
- Office environment with occasional need to interact with warehouse or production staff.
- May require occasional lifting of office supplies or small inventory items.
- Schedule is 8:00AM - 4:30PM (30 min lunch time)
